This is a remote position.Schedule: 49 hrs per week
  • Full-time: Monday - Friday 8:00 AM - 5:00 PM (10:00 AM to 7:00 PM PHT)(with a 1-hour paid lunch, 9 hours a day)
  • Saturday: 8:30 AM - 12:00 PM (10:30 AM to 2:00 PM PHT) (with a 30-minute paid break, 4 hours)

Scope of the Role:You will manage the front desk operations for a busy healthcare physiotherapy practice, acting as the first point of contact for patients via video conferencing and telephone calls. You will be responsible for maintaining smooth patient flow and supporting administrative tasks within the clinic.

Key Responsibilities:
  • Greet and check-in patients via video when they arrive at the clinic using an iPad system.
  • Answer and manage incoming calls professionally, addressing patient inquiries and concerns.
  • Schedule patient appointments and consultations, coordinating with physio and other staff members.
  • Assist with patient flow by managing administrative tasks, including updating patient notes and records.
  • Ensure all necessary paperwork is completed for new patients, and process payments if required.
  • Provide information on clinic services, fees, and appointment details.
  • Handle billing inquiries and process payments through remote login.
  • Facilitate communication between patients, therapists, and other clinic staff.
  • Support the current staff with video reception tasks while she focuses on phone reception.
  • Help ensure compliance with the clinic's healthcare regulations through administrative tasks.

Requirements
  • Proven experience as a medical receptionist or in a similar customer-facing role.
  • Knowledge of medical terminology and billing practices is advantageous but not required.
  • Strong communication and customer service skills, with a natural, fluent command of English.
  • Friendly, outgoing personality to create a welcoming virtual environment for patients.
  • Experience withNookal(a clinic management system) is a plus but not necessary.
  • Proficiency in Microsoft Office and general computer skills.
  • Strong organizational and multitasking abilities, with the ability to manage multiple patients at once.
  • Ability to handle sensitive and confidential information with discretion.
  • High school diploma; certification in office management or a similar field is preferred.
  • Pleasant, easy-going manner that puts patients at ease.
